Business Support Associate
SUMMARY:
Verbatim Americas seeks a Business Support Associate to provide customer and sales support for our customers and sales representatives that is the best in our industry.
DUTIES:
• Support Verbatim Sales Representatives by providing information on sales history and availability of product.
• Serve as internal contact for sales accounts.
• Coordinate sales forecast between Sales Representatives and Planners. Review for accuracy, report accuracy, and reply back to Sales Representatives with ability to meet product requests.
• Obtain and analyze customer sell through and inventory on a weekly basis. Provide weekly and monthly product availability reports to Manufacturer and Sales Representatives.
• Analyze sales history and create graphs tracking competitive sales detail.
• Coordinate future product requirements and release of allocated products between Sales, Buyer/Planners and Customer Service.
• Analyze rebate and promotional sales programs, tracking and reporting profitability.
• Coordinate MDF approvals, track MDF accounts and issue credits against MDF invoicing. North America, Mexico and Rolar.
• Act as Site Administrator for retail vendor performance web site tracking.
• Attend monthly SOP meeting for all product lines.
• Work with Sales Representatives on pricing analysis, ASPF pricing for the retail channel and gross margin analysis.
• Obtain and analyze competitive pricing. Prepare spreadsheets and distribute reports. For the Sales channel, this involves tracking weekly retail flyers and visiting stores to check shelf space and prices.
• Obtain samples from the warehouse and ship as needed.
• Data Content Manager for the Global Data Synchronization Project.
EDUCATION AND EXPERIENCE:
• Bachelor’s degree from four year college or university.
• 1 to four years related experience and/or training, or equivalent combination of education and experience. • Proficiency in MS Word and Excel, database software and inventory software. Should have knowledge of PowerPoint.
• Superior customer service and phone presence skills.
• Ability to multi-task, good organization skills and detail-oriented.
• Excellent interpersonal and communication skills.
• Experience with data synchronization systems helpful!
• Bilingual skills preferred - ability to speak, read, write and comprehend fluently in English and Spanish.

International Order Administrator
SUMMARY:
Verbatim Americas seeks an INTERNATIONAL ORDER ADMINISTRATOR to coordinate and process all customer purchase orders and shipments to South America, Central America and Mexico.
DUTIES:
• Understand and comply with customer agreements and requirements.
• Review international customer orders for accuracy and compliance.
• Enter customer orders including samples into SAP computer system.
• Maintain special customer pricing in the SAP computer system after approval is received from proper channels.
• Work with Buyer/Planners and Sales Support Group on product shortages and receipt times of backorders.
• Work with Buyer/Planners/Forwarder/Shipping Company and coordinate direct shipments from factories to customers in South America / Central America and Mexico.
• Work with Buyer/Planner/Customer and coordinate any required license or COO to make a shipment.
• Work closely with Verbatim Credit Dept. for credit release.
• Add SAP delivery note to warehouse to initiate a shipment.
• Prepare all necessary documentation (NAFTA Certificate, Commercial Invoice, Pack Slip, SED and SLI ) in order to export out of the USA into Mexico, South America and Central America.
• Work with Verbatim transportation group and Freight Forwarders to ensure proper pick up and deliver.
• Communicate with customers or Sales Support Group regarding order status including ship dates, receipt dates and delivery delays.
• Assist Traffic Dept and warehouses to coordinate customer shipments or claims.
• Work with internal Verbatim staff, vendors, freight forwarders or brokers to correct and resolve problems if necessary.
• Process scrap in field credits.
• Maintain order files and documents.
• Provide input in order to classify products including Harmonized Tariff Codes, Schedule B or ECCN.
• Obtain and present royalty license when appropriate to proper government agencies.
• Work with Credit Dept and Freight Forwarders when executing Letters of Credit.
• Initiate debits and credit memos to customers when appropriate to correct billing.
• Work with customers and Sales Support Group to correct shipping/billing discrepancies.
• Other duties as assigned.
EDUCATION AND EXPERIENCE:
• Associate’s degree (A.A.) or equivalent from two year college or technical school; or three years related experience and/or training; or equivalent combination of education and experience.
• Export knowledge a plus which includes ECCN, HTS, Incoterms 2010.
• Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public in Spanish and English essential. ( Portuguese a plus! )
• Knowledge of order processing software.
• Excellent planning, organizational and time-management skills.
• Freight Forwarding or international shipping knowledge very helpful.
• Ability to write basic reports and business correspondence.
• Knowledge of Microsoft Office products, particularly Word and Excel.
• SAP software experience preferred; aptitude to learn SAP is essential.
• International experience helpful.
